Valentine's Day Division

 

Responsible for the management of the event, registration all the way to post-race clean up. The division focuses on the safety and security of every participant and volunteer during the race. The division has the responsibility for all aspects of planning, organization and management of the races, literally from the start to the finish.

 

Valentine's Day TC 5K Division

Division Director

Role summary: Works directly with TCM Staff on the planning and operational logistics of the event and oversees the Valentine’s Day TC 5K Committee.  

Key Job Responsibilities: 

  • Oversees all planning and organization of the event in conjunction with TCM Staff  
  • Assist TCM Staff in clearly delineating job responsibilities, personnel, and timing of all major tasks needed to manage the event.  
  • Communicates with Valentine’s Day TC 5K Committee members  
  • Plan, lead and attend committee meetings as scheduled  
  • Discuss and cultivate best practices with the committee 
  • Ensure a positive event experience (for all participants and volunteers) 

Key Skill Sets:

  • Strong communication skills   
  • Project management experience 
  • Self-starter, driven and committed to ongoing change and continued improvement 
  • A positive attitude! 
  • Ability to work early in the morning on race day 
  • Ability to lift up to 40 lbs.  

Commitment: 

  • Race week (includes Saturday and a walk through earlier in the week)  
  • Attend in person committee meetings and conference calls  
  • Attend TCM Race Committee Meetings (usually the first Thursday of each month)

Race Festival Captain

Role summary: Help with planning, logistics, and management of the Valentine’s Day TC 5K race festival leading up to the event and on race day.  

Key Job Responsibilities: 

  • Oversee the set-up and take down of the physical race festival area 
  • Security and crowd control 
  • Lead volunteer training and supervision on event day for various festival activations, including but not limited to photo stop and hot beverages station.  
  • Attend committee meetings as scheduled 
  • Discuss and cultivate best practices with the committee  
  • Ensure a positive event experience (for all participants and volunteers) 

Key Skill Sets:

  • Self-starter, driven and committed to ongoing change and continued improvement 
  • A positive attitude! 
  • Ability to work early in the morning on race day 
  • Ability to lift up to 40 lbs.  

Commitment:

Start Line Captain

  • Barricade set-up and removal  
  • Coordinate set-up and take down of tents, power, sound, clocks, etc. 
  • Attend committee meetings as scheduled 
  • Discuss and cultivate best practices with the committee 
  • Ensure a positive event experience (for all participants and volunteers)

  • Coordinate distribution of medals, fluids and foods

Course Captain

Role summary: Help with planning, logistics, and management of the Valentine’s Day TC 5K course on race day. 

Key Job Responsibilities: 

  • Assist in the set-up and management of a safe course for participants 
  • Assist in the placement and training of course marshals throughout the course 
  • Responsible for all intersections between the start and finish 
  • Communicate the ongoing status and condition of the course 
  • Course set-up coordination (mile markers, etc.)  
  • Final course drive and inspection  
  • Attend committee meetings as scheduled 
  • Discuss and cultivate best practices with the committee 
  • Ensure a positive event experience (for all participants and volunteers)

Gear Check Captain

Role summary: Help with planning, logistics, & management of the Valentine’s Day TC 5K gear check on race day. 

Responsibilities include but are not limited to: 

  • Set up and oversee gear check area at the event  
  • Lead volunteer training and supervision on event day 
  • Set up a secure/barricade barrier before gear check opens and remove barrier upon close 
  • Coordinate set-up and take down of gear check area 
  • Ensure gear bag protocol is being followed  
  • Attend committee meetings as scheduled 
  • Discuss and cultivate best practices with the committee 
  • Ensure a positive event experience (for all participants and volunteers)

Role summary: Help with planning, logistics, & management of the Valentine’s Day TC 5K drop-off / pick-up zone on race day.

  • Set up and oversee drop-off / pick-up zone on event day   
  • Lead volunteer training and supervision on event day 
  • Ensure there is a clear path from the drop-off/pick-up zone to the start area and to the race festival area 
  • Coordinate set-up and take down of drop-off / pick-up zone  
  • Attend committee meetings as scheduled 
  • Discuss and cultivate best practices with the committee  
  • Ensure a positive event experience (for all participants and volunteers)
