Event Experience Manager

The Event Experience Manager serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier events, including the Medtronic Twin Cities Marathon, a Top 10 U.S. Marathon. With a mission of promoting healthy lifestyles by igniting everyone’s inner athlete, TCM is proud to provide financial support to youth and professional athlete initiatives.

 

The Event Experience Manager is responsible for managing the experience at all TCM participant events. The Event Experience Manager works closely with the Marketing and Experience Team and reports to the Director of Marketing and Media. This position also works closely with event operations and corporate partnership staff. Like all staff positions at TCM, the Event Experience Manager provides significant support at all TCM’s events.

 

Responsibilities:

  • Elevate TCM’s brand awareness and reputation by creating consistent, compelling event experiences across all events. Develop the strategy for and manage the execution of all pre-race packet pickup events/expos (including the Medtronic Twin Cities Marathon Weekend Health & Fitness Expo, a 42,000-person event), event experiences like entertainment and signage, and post-event festivals and parties (including the Medtronic Twin Cities Marathon Weekend 27th Mile). Events today include the Valentine’s Day TC 5K; Hot Dash 5K & 10 Mile; Medtronic TC 1 Mile; Red, White & Boom TC Half Marathon, Relay & 5K; TC Kids events, and Medtronic Twin Cities Marathon Weekend events. Work collaboratively with Race Operations, Corporate Partnership, and Registration colleagues to optimize event experiences for participants, spectators, and sponsors.

  • Partner with colleagues to provide event experience strategy and execution support to auxiliary TCM events, such as the Association Volunteer Meeting and Banquet and Marathon Weekend VIP Reception and VIP Tent, among others.

  • Manage budgets, an intern, and multiple volunteer committees, who will assist with the execution of events.

  • Drive the assessment of TCM’s event experience, benchmarking progress and identifying areas for improvement.

  • Serve on TCM’s Marketing & Experience team, helping drive organizational strategy, budgets, and planning. 

  • Other duties as assigned.


Required skills:

  • Ability to regularly lift weights for events up to 25 lbs. and occasionally weights up to 40 lbs.

  • Ability to work nights and weekends as needed. Like all staff positions at TCM, the Event Experience Manager position provides significant support at TCM’s events.


Ideal candidates will possess:

  • Proven track record of conceptualizing and executing at large participant events.

  • Minimum of 5 years of event, user experience, and/or marketing experience. Experiential event management experience (festival, convention, planning, sports tournament, etc.) is highly desired.

  • Experience with non-profit organization and leading volunteers.

  • An enthusiasm for running and/or fitness.

  • Bachelor’s degree in related field.

Marketing and Communications Internship

The Marketing and Communications Intern serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier running events, including the Medtronic Twin Cities Marathon, a Top 10 U.S. Marathon. With a mission of promoting healthy lifestyles through running events and community outreach, TCM is proud to provide financial support to youth and professional athlete initiatives. 

The Marketing and Communications Internship is a paid, year-long position responsible for assisting the marketing, online engagement, merchandise, and media relations teams.

The Marketing and Communications Intern works closely with the Media & Communications Manager and Online Engagement Manager and reports to the Director of Marketing and Media. Like all intern and staff positions at TCM, the Media & Communications Intern position provides significant event assistance at TCM’s 21 races. This may include specific duties that pertain to marketing and communications as well as general event related responsibilities as assigned. 

Responsibilities:

  • Draft, edit, write, and manage e-communications, website copy, social media posts, and/or other projects as assigned. Write for various audiences using appropriate tone and branding. Help brainstorm tactics to meet marketing goals.

  • Assist with the tracking of website and media analytics.

  • Maintain listing of TCM events on public race calendars, websites, and nonprofit listings.

  • Assist with TCM’s merchandise, including fulfilling online orders.

  • Provide race event support at TCM’s year-round events, including assisting with photo booths, social media coverage, cheer zones, etc., or other duties as assigned.

  • Attend regular staff meetings and volunteer marketing meetings (paid evening hours). Serve as staff support for Marketing Committee projects.

  • Coordinate special projects and assist in office tasks as directed.


Qualifications:

  • Excellent written and oral communication skills

  • Social media experience (professional experience preferred)

  • Excellent organizational skills; able to be conscientious and detail oriented

  • Excellent customer service skills (phone/email/in person)

  • Able to prioritize and balance multiple projects simultaneously, and work in a fast paced environment

Corporate Partnerships Internship

The Corporate Partnerships Intern serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier running events. TCM is the nonprofit organization responsible for organizing and hosting the Medtronic Twin Cities Marathon – a top ten U.S. marathon and “The Most Beautiful Urban Marathon in America”® – and a year-long calendar of running events. TCM, a respected industry leader for the past 35 years, strives to give the best experience possible to runners, volunteers, sponsors, vendors, spectators, and the community.

The Corporate Partnerships Intern is a part-time position that assists with the planning and execution of TCM’s year-round events. This position will support the areas of corporate partnerships, sponsorship, health & fitness expo, corporate team challenge, and reports to the Director of Partnerships.

Like all intern and staff positions at TCM, the Corporate Partnerships Intern position provides significant event assistance at TCM’s 21 running events. This may include specific duties pertaining to Corporate Partnerships as well as general event related responsibilities as assigned.

Responsibilities:

  • Assist in the development of our corporate partnership database (sponsors, expo vendors, corporate teams, other partners)

  • Assist in the outreach of corporate partnership prospects (sponsors, expo vendors, corporate teams, other partners) and set up meetings as requested

  • Assist in the planning and execution of corporate partnerships, in support of the Director of Partnerships and Corporate Relations Manager – notably the 2017 Medtronic Twin Cities Marathon Weekend (including the Health & Fitness Expo)

  • Coordinate with corporate partners to procure necessary forms and contact information

  • Provide front-line customer service to TCM’s constituents – participants, sponsors, vendors, volunteers

  • Attend weekly staff meetings on Monday afternoons, and occasional weeknight meetings

  • Perform office administrative functions

  • Other duties as assigned


Qualifications:

Responsibilities:

  • Assist in the planning and execution of pre- and post-race experiences, including expos and post-race festivals. Work closely with Marketing, Race Operations, and Sponsorship colleagues to create compelling experiences that elevate TCM's brand. 

  • Help manage volunteers, both year-round Association volunteers and event-day volunteers.  

  • Attend weekly staff meetings on Monday afternoons, and occasional weeknight committee meetings

  • Provide front-line customer service to TCM’s constituents – participants, sponsors, vendors, volunteers

  • Perform office administrative functions

Sports Management Internship

The Sports Management Intern serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier running events. TCM is the nonprofit organization responsible for organizing and hosting the Medtronic Twin Cities Marathon – a top ten U.S. marathon and “The Most Beautiful Urban Marathon in America”® – and a year-long calendar of running events. The Sports Management Intern is responsible for assisting the race operations team. The Sports Management Intern reports to the Race Operations Manager and works closely with the Race Operations Manager and Race Director.

Responsibilities:

  • Assist in the planning and execution of certified/sanctioned TCM races as assigned by the Race Operations Manager and Race Director

  • Research vendor options and coordinate equipment orders for events

  • Prepare, track and submit permit applications with the city agencies

  • Support office staff and race committee volunteers with inventory management and preparation of supplies for events

  • Provide customer service to participants, sponsors and volunteers

  • Support office staff and volunteers with various office projects and other administrative functions as required

  • Additional intern responsibilities include:

    • Attending regular staff meetings

    • Lead designated area on race day

    • Other duties as assigned

Merchandise And Office Assistant

The Merchandise and Office Assistant serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier running events, including the Medtronic Twin Cities Marathon, a Top 10 U.S. Marathon. With a mission of promoting healthy lifestyles through running events and community outreach, TCM is proud to provide financial support to youth and professional athlete initiatives.

 

The Merchandise and Office Assistant supports the office and merchandise functions, fulfilling merchandise orders, providing customer service, and completing office tasks. The assistant works closely with the Administrative Coordinator and reports to the Marketing and Media Director. Like all intern and staff positions at TCM, the Merchandise and Office Assistant position also provides significant event assistance at TCM’s 21 races. This may include specific duties that pertain to merchandise, customer service as well as general event related responsibilities as assigned. 

 

Job Responsibilities:

  • Assist with the sourcing, buying, merchandising, online and in-store sales, e-commerce, fulfillment, and customer service of TCM’s merchandise, which includes year-round online and in-store sales as well as Medtronic Twin Cities Marathon Weekend in-store sales. Work with Merchandise Chair to help manage a committee of year-round volunteers.

  • Provide exceptional front-line customer service

  • Perform office administrative functions. Support office staff and volunteers for various office projects

  • Additional responsibilities:

    • Assisting with post race customer service issues

    • Serve as backup for the Administrative Coordinator in their absence.

    • May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required

    • Event responsibilities as assigned

Volunteer & Community Outreach Intern

With a mission of promoting healthy lifestyles by igniting everyone’s inner athlete, TCM is proud to provide financial support to youth and professional athlete initiatives.

 

The Volunteer & Community Outreach Intern is a part-time position that assists with the planning and execution of TCM’s year-round events. This position will support the areas of volunteer recruitment and management; oversee the Charity Program, Training Team Program, and additional outreach efforts as needed. This position reports to the Volunteer & Community Outreach Manager. Like all intern and staff positions at TCM, the Volunteer & Community Outreach Intern position provides significant event assistance at TCM’s 21 running events. This may include specific duties pertaining to volunteer management as well as general event related responsibilities as assigned.

 

Job Responsibility:

Assist/support the Volunteer & Community Outreach Manager with the following:

  • Volunteers:

    • Work with staff and appropriate Division Director to identify volunteer needs for all events

    • Manage recruitment efforts to retain over 6,000 race-day volunteers for year-round events

    • Oversee recruitment of new volunteer groups, collateral, applications, registration coordination and instructional messaging

    • Develop and manage volunteer loyalty programs (tracking and incentivizing volunteers) and volunteer appreciation programs, including annual awards

    • Manage volunteer registration software platform, including updates and messaging

    • Along with the Volunteer Recruitment Division, oversee race day operations and execution of volunteers

    • Work with Administrative Coordinator to ensure Association volunteer waivers are submitted

  • Community Outreach:

    • Represent TCM at a variety of functions, speaking or staffing a booth on behalf of TCM as an organization

    • Training Teams: coordinate race day needs, and post-event follow-up

    • Charity Teams: track runner registration, coordinate race day needs, and post-event follow-up

 

Qualifications:

  • Must be available to attend and work at TCM events, particularly Medtronic Twin Cities Marathon Weekend (September 29-October 1, 2017), Medtronic TC 1 Mile (May 11, 2017) and the Red, White & Boom! TC Half Marathon, Relay & 5K (July 4, 2017)

Part-time After School Program Leader – Wise Kids In Motion

The Part-time After School Program Leader serves as part of the high caliber Twin Cities In Motion team, which plans and executes the region’s premier running events. TCM is the nonprofit organization responsible for organizing and hosting the Medtronic Twin Cities Marathon – a top ten US marathon and “The Most Beautiful Urban Marathon in America”® – and a year-long calendar of running events. TCM, a respected industry leader for the past 34 years, strives to give the best experience possible to runners, volunteers, sponsors, vendors, spectators, and the community.

 

The Part-time After School Program Leader – Wise Kids In Motion is responsible for assisting the Youth Programs Manager.

 

Job Responsibilities

  • Implement an existing 8 week running/nutrition program for children in elementary school.

  • Coordinate materials with Säjai Foundation counterparts

  • Prepare, purchase and inventory equipment and supplies for program

  • Evaluation of curriculum and development of new material where necessary

  • Be flexible and prepared to run a quality recreation/running program

  • Ensure participant welfare during all activities.

  • Communicate with program staff and parents as needed


Qualifications

  • Should have one year of experience leading a youth program

  • Must demonstrate effective planning skills and implementation of youth programs

  • Should have basic running knowledge

  • Should have basic understanding of healthy nutrition standards

  • Must have good written and verbal communication skills

  • Must possess or obtain a First Aid/CPR card

  • Must possess a valid MN Driver’s License

  • Ability to interact and maintain relations with school and program staff

  • Physical strength and ability to lift up to 25 pounds

  • Must successfully complete a background check

 

Work Environment

Performs work in both indoor and outdoor settings at various school and neighborhood locations. Exposure to periods of direct sunlight and/or cool damp weather is possible.

 

Work Schedule

Program operates before and after-school days consisting of hour long modules for 8 weeks. Employee may have multiple days during the week and staggered 8 week blocks throughout the school year. Summer hours may be combined on one or more days of the week and can be morning or afternoon depending upon summer school program schedules.

 

Salary is on an hourly basis. Travel time and Prep time are included. Standard Mileage Reimbursement for travel is given.
